Method to Write an External Memo

There are two types of memos named external and internal. Internal memos are used within the organization while external memos are those business letters that are sent to either individuals or companies outside the organization. It is an important business letter so an acceptable format should have to be adopted for making an external memo. The two acceptable formats are indented format while the second format is that which doesn’t use indentation. There are several other requirements that have to be fulfilled like external memo should be single-spaced and left justified. And its length should not be more than two pages. Other instructions for writing an external memo are as follows:

  • First of all you will have to take your company’s letterhead and insert it in the printer. If company’s letterhead is not available then you can either make it in MS Word or use letterhead templates. If you are unable to use any of the two options then you can type the sender’s address and information about contact at the top left side of the paper.
  • If you have used a letterhead then after that hit the space bar under the letterhead and if you are not using letterhead, then give a space after typing sender’s name. This is necessary because you are required to create a space break before typing further.
  • After that, you will type the date and press the space bar one more time to create a space break.
  • After typing the date, you are required to type the address of recipient. The address of the recipient is typed along the left margin of the memo.
  • After giving another space, select a salutation in order to greet the recipient. If you are unaware of the name of recipient, then the most acceptable wording which you can use is “to whom it may concern”.
  • Again hit the space bar to create space again. Now you will type the most important part of the external memo that is the body of the memo.  The style of writing should be quite professional and the body of the memo should be concise, clearly understandable and comprehensive.
  • Before writing the closing words of the memo, hit the space bar one more time. The most commonly used word is “thank you”. Remember to capitalize the first letter of the first word only.
  • Now you are required to press the space bar for four times to give more space. After that, type the sender’s name. The space between the closing of memo and sender’s name is necessary to leave the space for the actual signatures of sender of memo.
